Why quotes go cold, and how to follow up on every one

A quote that sits in an inbox for a week is a quote for your competitor. How to get estimates out faster and follow up without being pushy.

Where quotes get stuck

Most contractors don't lose quotes on price. They lose them on time. The estimate gets written at night, goes out days after the visit, and then nobody checks back. The homeowner has questions, gets busy, and signs with whoever stayed in touch.

  • Slow to send. Measurements live in a notebook and photos on someone's phone.
  • Hard to read. One line with a total and no scope leaves the client comparing apples to oranges.
  • No follow-up. One "just checking in" text, then silence.

What an estimator agent does

  1. Collects the visit. Photos, measurements and notes go into the job right after the visit.
  2. Prices from your sheet. It uses your own materials, labor rates, minimums and markups. It never invents a price.
  3. Drafts a clear proposal with scope, options, what is included and what is not.
  4. Waits for your approval. You check the numbers and tap Send.
  5. Follows up on a schedule. A thank-you, an answer to common questions, a reminder before your price expires. Every message is approved by you first.
Your price stays your decisionThe agent drafts. You approve every number before a client sees it.

A follow-up plan that doesn't feel pushy

  • Same day: send the quote and offer a short call to walk through it.
  • A few days later: answer the questions clients usually ask (timeline, mess, warranty).
  • Before the quote expires: a friendly reminder with the date.
  • If they say no: ask what made the difference. That answer improves the next quote.

The quote is only the first piece of paper. Once the job starts, scope changes are where margin disappears. Read change orders that get signed and paid, or start at the top with answering every lead.
